VAC 118/25 – FLEET SERVICES MANAGER (CENTRAL)

The position will be based at the Energy Fiji Limited’s Head Office, Suva and will report to the Chief Financial Officer.
Key Responsibilities
- Manage, monitor and lead the Fleet Department to ensure entire EFL’s Fleet are effectively and efficiently managed to align to Corporate Strategies & KPIs;
- Draw up Performance Indicators and monitor to ensure all fleet services are delivered on time;
- Monitor Fuel Card operations and liaise with Supplier on Card operational issues;
- Arrange New Fuel Card for Newly Supplied Vehicles and also replacement for lost Fuel Cards and also Arrange Fuel Code for newly authorized Driver’s;
- Attend to Fuel Card and Fueling Issues at Service Station, and assist with directions to ensure our Team Operation continues and at the same time address Service Station’s issues;
- Investigate Fuel Efficiency/Usage to identify those performing below expectations and Submit Report to the Board on Monthly basis;
- Ensure efficient and timely delivery of fleet services to all Strategic Business Units (SBUs);
- Follow up on Repair Complaints, Vehicle Delivery issues, Replacement Issues and assist with Vehicle Planning to accommodate operations;
- Provide technical advice to Teams on proper operation and care for vehicles and where needed, liaise with Suppliers for assistance towards quality products and vehicle suitability with excellent back-up services towards certain products;
- Accountable for the effective management of all the EFL’s vehicles within the approved budgets;
- Coordinate with Suppliers on running of Training and Awareness towards Vehicle Basic Care and other specialized Training like 4WD;
- Holds regular co-ordination meetings with vehicle suppliers to ensure that the best service and care is obtained for EFL vehicles at the best competitive prices;
- Proactive in ensuring compliance of the Fleet Manual & Policies and Finance & Audit Policies from all SBA’s at all time;
- Visit Sections/Teams and run awareness on Vehicle Operation in terms of Attitude and Compliance with Road Rules;
- Observe and adhere to all safety procedures, according to the Occupational Health & Safety Requirements and the EFL’s Safety rules & procedures;
- Organize fleet personnel for standby duties in case of vehicle breakdowns and emergencies and provide back-up services to ensure service deliveries by Sections and Team are maintained;
- Assist management in annual budget preparation and compliance;
- Be a member of the Transport Committee in regards to fleet accidents and mishaps;
- Investigate Serious Vehicle Accidents, Public Complaints and submit Monthly reports;
- Prepare investigative reports for Management relevant to Fleet for breakdowns, accidents, or mishaps;
- Vehicle Tender Evaluation or any other tender relating to Fleet Road Show or Awareness, and other Issues which EMG or Sections may require from time to time;
- Continuously liaise with internal stakeholders to ensure continual improvement on efficient fleet management services;
- Ensure timely processing of fleet invoices after successful vehicle services/products have been rendered;
- Carry out any other duties as assigned by the General Manager Human Resources.
Key Requirements
- Certificate IV/Diploma in Automotive Engineering and ideally qualifications in Light Motor Vehicle & Heavy Motor Vehicle from a recognized tertiary institution, in exceptional circumstances, applicants with no relevant qualification, but having significant experience in Fleet Management may be considered;
- 10 years of relevant work experience, and must have some previous supervisory experience in Fleet operations and/or administrative works;
- Should be proficient with computers especially in MS Office Programs;
- Must be an independent worker, a team player, self-starter, innovative, results driven, and have sound knowledge in vehicle maintenance and operations;
- A valid full group two (2) Driving License is mandatory.
