VAC 71/22 - PROCUREMENT SUPPORT OFFICER (CENTRAL)

The position will be based at the Energy Fiji Limited’s Head Office and will report to the Manager Procurement, Inventory and Supply Chain.

Key Responsibilities:

  • Ensure analysis of major projects is prepared in coordination with the project teams so that materials are available on time to achieve SBA and Corporate KPI’s.
  • Develop professional relationship with current suppliers and prospective new suppliers both local and overseas.
  • Coordinate with Planning Engineers and maintain records for product specifications
  • Coordinate with Team Leader Inventory, procurement & Supply Chain and user department to prepare monthly forecast plan for materials required for Operation & Maintenance projects, Capital Projects and natural disasters for timely procurement.
  • Negotiate with suppliers on price and better lead time (best value for money)
  • Responsible for obtaining quotations from local & overseas suppliers as per EFL policy & procedure
  • Verification & endorsement of quotations and send it to respective SBA
  • Responsible for Preparing of evaluation report for purchase of stock items (selection of supplier)
  • Responsible for ensuring that product specification/data sheet is approved by Standards Engineer
  • Responsible to ensure all documents are correctly filled and approved by the delegated authorities for processing of Purchase Order as per the EFL procedure and policy
  • Ensure timely coordination and follow ups with suppliers (Overseas/Local) for just in time delivery of goods to avoid stock shortages
  • Must be well versed with incoterms
  • Responsible for coordinating with freight forwarder to ensure shipment via air & sea freight is arranged on a timely basis
  • Ensure correct documents is provided to freight forwarder for customs clearance on a timely basis
  • Ensure timely coordination with freight forwarder for delivery of goods to stores (Navutu or Kinoya)
  • Ensure timely management of outstanding purchase orders
  • Liaise with suppliers for short supply, faulty items and credit notes
  • Organize Travel & Accommodation for EFL staff
  • Participate in quarterly stock take
  • Ensure EFL Procurement policy and procedure is followed at all time.
  • Ensure Health & Safety is paramount and always maintained
  • Responsible for providing contract expiry report for management reporting
  • Assist in preparing tender documents and calling Preferred Supplier tenders
  • Must be well versed with contract terms and negotiating contracts
  • Any other duties assigned by the superiors

Reports

  • Prepare monthly/quarterly Supplier performance report for management
  • Prepare monthly outstanding order aging report for management
  • Prepare monthly report on preferred supplier contracts nearing expiry
  • Prepare monthly outstanding shipment report
  • Any other reports as requested by the superiors

Key Requirements:

  • The candidate should have a Degree/Diploma in Engineering, Business Administration, Accounting, Commerce, Inventory Management, Supply Chain and Procurement with at least three (3) years of relevant work experience in a similar role.
  • The candidate must be a team player and have good written and oral communication skills.
  • Must be innovative and be able to adapt to change management
  • The candidate must have good knowledge of Microsoft Excel, words, Power Point and Accounting software packages and can work with minimum supervision and achieve high results.
  • Group 2 driving license with be an added advantage.
