VAC 146/24 - FLEET OFFICER (WESTERN)
The position will be based at the Energy Fiji Limited’s Navutu Depot, Lautoka and will report to the Fleet Services Manager.
Key Responsibilities:
- Strive to ensure all EFL Vehicles are in good working condition at all times and available as and when needed for operational use;
- Facilitate, plan and efficiently co-ordinate timely vehicle repairs and servicing with to ensure minimum disruption to operations;
- Monitor and supervise Fleet Support Officers to ensure smooth workflow;
- Receive all running sheets and enter into logbooks and provide relevant documentation for the accounts department for job charges;
- Keep records of all operating costs of EFL Fleet, including fuel, repair and maintenance for submission to the designated Supervisors, Managers as and when required;
- Assist and liaise with Services Delivery/Compliance Manager on fleet maintenance and repair works to ensure that Department/Section Heads are advised so that alternative transport can be arranged if necessary;
- Maintain an up-to-date register of all authorized drivers and their license categories, third party, insurance, defensive driver certificates;
- Inform Designated Supervisors and vehicle drivers of pending vehicle Certificate of Fitness (COF) expiry dates so that inspections can be programmed in advance with minimum delay and disruption to operations;
- Continuously maintain vehicle database & records and liaise with Finance Asset Management team as and when required;
- For generation of Local Purchase Orders (LPO), ensure Requisitions Forms are raised, complete details filled with relevant quotations attached for individual vehicle maintenance requirements for authorization by Fleet Service Manager;
- Ensure strict compliance to Finance & Fleet Policies during all fleet transactions and events
- Provide weekly Vehicle reports to the Fleet Service Manager & the Manager;
- Assist Fleet Service Manager for acquisition of new vehicles;
- Maintain a clean and presentable working environment with good housekeeping;
- Carry out vehicle care audits as and when assigned by the Internal Audit Department;
- Observe and adhere to all safety procedures, according the Health and Safety requirements of EFL and Fiji Legislation;
- Carry out spot checks on vehicles to ensure satisfactory condition and appearance, and necessary tools & equipment are in the vehicles at all times, and report on conditions within 24 hours to relevant supervisors on defective vehicles;
- Analyze and audit driver behaviors and assist in delivering “Zero Incident Process (ZIP)” for all EFL vehicles;
- Carry out Standby duties when required to assist with vehicle breakdowns, incidents and accidents;
- Drive EFL vehicles in line with Fleet Manual Policies & Procedures;
- Ensure prompt reporting on vehicle TIN – (Tax Infringement Notice);
- Carry out diagnoses and troubleshooting on light vehicles;
- Perform general maintenance works and periodic servicing on light vehicles;
- Perform other work related duties assigned from time to time.

Key Requirements:
- A Certificate IV in Automotive Engineering from a recognized Tertiary Institution with completion of apprenticeship Program;
- A matured person with at least five (5) years’ experience in office administration and some garage supervisory skills will be an advantage;
- A valid Group two (not provisional) Manual Driving License is mandatory;
- A valid Group 6 and/or 9 Driving License will be an added advantage and be computer literate and proficient in using Excel spreadsheets.
